Version of 1 November 2026
1. General
VIPAVIA LLC (the Provider) offers to enter into a contract on the terms of this offer.
The offer is accepted by paying the invoice issued after the Confirmation. A Request alone does not form a contract or oblige you to pay.
Companies and agencies may sign a separate contract, which then applies instead.
2. Definitions
Services: arranging VIP passenger service at airports, including VIP terminals and business lounges, Fast Track, meet and assist, and related services.
Customer: the person accepting the offer. Passenger: a person named in the Request who receives the Service.
Subcontractor: an airport, VIP terminal operator, service or transport company engaged by the Provider.
Request: the Customer's enquiry for a Service. Confirmation: the Provider's written message describing the Service, its price, urgency and cancellation terms and the service procedure.
3. Subject
The Provider arranges the Services stated in the Confirmation, and the Customer pays for them.
The Provider may engage Subcontractors without separate approval and without changing the price in the Confirmation.
The Services are not a tourist product or carriage. The Provider is not responsible for flight operation or for tickets, visas or other Passenger documents.
Website information is for reference. The terms of a particular Service are set by its Confirmation.
4. Requests and booking
A Request is made through the website form or to info@vipavia.com and states the date, airport, country and terminal, flight number and direction, type of Service, Passenger names in Latin letters as in the passport, dates of birth of children under 12, a contact phone and any wishes.
The Provider gives the price and terms. Once the Customer agrees, it sends a Confirmation and invoice, or a refusal. The Service is booked from the Confirmation, provided the invoice is paid on time.
The Customer checks the Confirmation and reports errors within 1 hour of receiving it. Discrepancies with the Request are corrected free of charge. For consumers, this does not release the Provider from liability for its own errors.
The Provider may decline a Request where a VIP terminal has limited capacity or is closed, during repair works, if a Subcontractor refuses, or if details are incomplete or inaccurate.
5. Price and payment
There is no fixed price list. The price is set for each Request according to the airport, date, type of Service and number of Passengers. It is provisional before the Confirmation and does not change after Confirmation and timely payment.
Payment is 100% in advance, by the method and within the period stated in the invoice, and no later than the day before service. An urgent Request is paid on the day of invoice. The payer bears bank charges.
If payment is late, the Provider may cancel the booking.
Bar and restaurant services, excess baggage, porters and third-party services are not included unless the Confirmation says so.
6. Changes, cancellation and refunds
There are no uniform cancellation terms. Urgency, change and cancellation terms, deductions and the consequences of no-show are stated in the Confirmation of each order.
The Customer gives notice of changes or cancellation in writing to info@vipavia.com. A changed Request is treated as cancelling the earlier one and making a new one.
The Customer may withdraw from a Service before it starts by paying the Provider's actual costs. The balance is refunded within 10 calendar days by the original payment method, unless mandatory law sets another period.
A Service is payable in full if it is not provided for reasons within the control of the Customer or Passenger (no-show, lateness, inaccurate details, missing documents, refusal on site, breach of rules), unless the Confirmation says otherwise.
If the Provider cannot provide a confirmed Service, it gives prompt notice and offers an equivalent replacement or a full refund.
7. Obligations
The Provider arranges confirmed and paid Services and gives accurate information about them.
The Customer provides complete and accurate details, reports flight changes without delay, and tells Passengers the service procedure and cancellation terms.
The Passenger follows VIP terminal, aviation security, border, customs and health rules. A Passenger who cannot find the greeter stays at the meeting point and immediately calls the contact in the Confirmation.
Carrying weapons through a VIP terminal is arranged only on prior request in the Request. Tracing lost or delayed baggage is handled by the airport's service.
8. Liability
The Provider is not liable for flight delays, cancellations or changes and carrier actions, decisions of public authorities, refusal of entry or exit, missing Passenger documents, errors in details given by the Customer, Passenger breaches of rules, or bank and communication failures.
The Customer compensates documented damage caused by Passengers to the property of a VIP terminal, Subcontractor or the Provider.
The Provider's liability to companies and sole traders is limited to refunding the price of the Service not provided. Terms that restrict consumer rights compared with mandatory law do not apply.
9. Force majeure
The parties are released from liability in cases of force majeure, including military action, natural disasters, acts of public authorities, closure of airspace or an airport, and entry or exit restrictions. The affected party gives notice within 5 business days. Payment for a Service not provided for this reason is refunded less actual costs incurred.
10. Personal data
Data is processed under the Privacy Policy published on the website. The Customer confirms they may share the data of other people named in the Request.
11. Disputes and applicable law
The contract is governed by the law of the Kyrgyz Republic and, for consumers, any mandatory rules of their country of residence that the law provides for. Disputes are settled by negotiation. Claims go to info@vipavia.com and are reviewed within 10 calendar days, or 30 days for companies. If no agreement is reached, the competent court decides.
12. Changes to the offer
The Provider may change the offer by publishing a new version on this page. Changes do not apply to orders already paid.
